Growth Systems and CRM

Hampton Design · Tampa, Florida

Most businesses cannot answer the one question that decides their marketing budget: which ad produced which paying customer. The ads are usually fine. The plumbing between the ad and the invoice is missing.

This is the least glamorous work I do and the work that changes the most.

new matters opened since launch traced back to a specific ad lead, by a daily job that phone matches the CRM against the ad platform. Before it, nobody could say.Covenant Law Firm, Tampa

What you get

  • CRM selection, setup and migration. Clio Grow for law firms, HubSpot for B2B, Shopify and simpler tools where a CRM is overkill.
  • Lead routing, so a call, a form and a text all land in the same place with the source attached.
  • Attribution that survives a sales cycle, matching closed business back to the lead and the campaign that produced it.
  • Alerting that pages a human when the pipe breaks, because silent failures are the expensive ones.
  • GA4 configured properly: key events, channel attribution, UTM conventions and a measurement plan written down.
  • Report dashboards your team will actually open.

Who it is for

  • Businesses spending on ads who cannot tell you their cost per signed client.
  • Firms where leads arrive by phone, text, form and walk in, and nothing ties them together.
  • Companies whose CRM was bought, half configured, and abandoned.
  • Anyone who found out a lead was lost because a form quietly stopped sending.

Work I can point at

Covenant Law Firm

Family law, Tampa

I procured and implemented Clio Grow, then built the relay that posts every Local Services Ads lead into it. A daily job phone matches each new matter back to the ad lead that produced it, and writes the source onto the matter. When the shared ad credential expired and the relay went quiet for four days, the fix came with a new alert that pages me if that credential ever fails again. The firm can now say that seven of ten new matters since launch came from ads, and prove it.

HubSpot capture on four landing pages, a dedicated tracking number and a sticky call bar, with the conversion chain verified end to end on the live site. The account it replaced had been counting phone number taps as conversions for months.

How the engagement runs

01

Map it

Every way a lead can reach you, and where each one currently dies. This usually takes one call and produces an uncomfortable diagram.

02

Pick the CRM

The cheapest tool that fits the sales process, not the one with the best demo. Sometimes you already own it.

03

Wire it

Routing, source stamping, alerting, dashboards. I submit the forms myself to prove each path works.

04

Close the loop

Attribution back from closed business to the campaign, so next month's budget decision is a fact, not an opinion.

Questions people ask

What counts as a growth system?

The connected set of tools between a click and a paid invoice: the landing page, the tracking, the CRM, the routing, the follow up and the reporting. Any one of them working alone leaves you guessing.

Which CRM should I use?

Clio Grow if you are a law firm, because it already holds your matters. HubSpot if you are B2B with a long sales cycle. For a lot of small service businesses the honest answer is a shared inbox plus a spreadsheet, until volume makes a CRM worth the training cost.

Can you prove which ad produced a client?

Yes, when the sales system records a phone number. For one law firm a daily job phone matches new matters against ad leads and writes the source onto the record, which is how I caught a report that had undercounted signed clients from ads.

What about a CRM I have already paid for?

Good. Most of the time the tool is fine and the configuration never got finished. Fixing what you own is cheaper than migrating.

Do you set up GA4 properly?

Yes: key events for form submits, call taps and email taps, a documented UTM convention, channel attribution that separates AI assistants from plain referral traffic, and a written measurement plan so the setup survives the next person.
